Need help writting a letter for race photo access

For starters I'm having a hard time concentrating, my mother was just in a car crash And I cant go back to Wi, due to work. Dgrin is the only thing that helps me not dwell on this unfortunate situation.:cry

Sorry for that, I am trying to write a letter asking my local race track for a pass to photo some races. No Im not trying to get into Daytona. I am new to this but love photography and I also love racing. I do have a few really great shots to put in a portfollio but most of them are animal related not race related. If anyone can give me any advice or point me in the right direction of a few examples that would be great.

    Personally I like to call vs write as an initial contact. Find out who handles the media for the track. Should be quick and easy. Keep your inquiry simple and to the point.
    Let them know that you are a local photographer, let them know if you are planning on sharing your photos with them for their promotional purposes, what access you want, the time frame which you will need that access, and the time frame in which you will provide images to them.

    I already called and got a name, but they said I need to send them a letter. I just want this to sound as professional as possible since I work for my self & am not affiliated with any magazine or news channel.
