Setup once for all galleries?

I want to set up my SmugMug so that it's not found by the spiders, that I have to give the address and password to someone, then once they've logged in, they've got free reign to add captions and copy to other galleries. I want the same theme for everything. I don't want to have to customize every gallery. I want to set it once and have all the of them have the same setting.

Q1) Exactly what all settings and where do I set it up to to that?

Q2) I'm using the WindowsExplorer right-click "Send to SmugMug" option to upload, so anything I should be aware of there so that I don't overwrite the settings from Q1?

There are also gallery-level settings available - see the security & privacy section of http://www.smugmug.com/help/picture-storage.

When you say you are going to give someone the password to log in you asked about access to features that are only available to the gallery owner or to an assistant if you have a pro-level account. See http://www.smugmug.com/help/guest-passwords.

As far as everything looking the same goes, you can set everything at a site level. Leave the theme in all galleries set to default. If you want to use a theme, set it at an account level, not at a gallery level. You aren't required to use a theme though. I don't use a theme at all; I simply started customizing with a blank slate. That's your choice.
