Elements of a Event Photography Contract

Hi All

I posted this thread on another photography forum and got some replies - but figured I would post here as well and see what I get ... so here goes.

I am getting ready to photograph my first sports event photography (kids indoor swim meet) for a local organization. In preparing for this, I figure I should have a contract with them to protect them and me. So, my question is this - what types of clauses should I have in my event contract?. Ive listed a couple that I thought of, but wondered if the experienced event photogs can add some wisdom.


Items to include
1) The "donation" of game-day sales, to the organizing committee (ie: 10%)
2) The organizer giving me exclusivity to the event
3) How long the photos would be available on my website for online sales
4) Retaining ownership to the photos

    Hi Luigi,

    it's hard to give you good advice without knowing more about your
    assignment and about your relationship to the eventmanagement.
    I'm guessing you are doing it for free and hope for ppl to buy prints
    later on, right?

    Some legal things that should be cleared beforehand are:

    - Does the owner of the location know/agree that it is photographed?
    - Do the parents of the kids know/agree that they are photographed?

    (event management should know all this, put it in the contract)

    You should also put the date time and duration of the shooting in the
    contract, as well as deadlines for availability, when you will pay them
    and what happens if you are not the only shooter. (i.e. fixed rate
    compensation?).

    But be carefull not to overwhelm your client with legal agreements.
    Ppl tend to run from that. The best way to nail it is to talk to them
    about the specifics beforehand and then write it down and get them
    to sign it - before the event. If they have to pay you any fixed
    amount (like traveling expenses?) make sure you'll get it BEFORE
    your photos go to the client. You won't believe how many jerks
    r out there taking photos and photographers for granted.

    I recommend you also to go over to sportsshooter.com and search in their
    discussion forum a bit. There is lotsa stuff from photograpers who
    make a living off event photography. They give tips and talk about
    common pitfalls.
